A fantastic opportunity has arisen for an experienced Executive Assistant to support the Managing Director of an international Multi-Family Office and Venture Capitalist Firm in Central London. Our clients manage and oversee the investments and assets of UHNWI clients globally who have sophisticated investments across a broad range of asset classes, as well as investments and interests in venture capitalism. Our client is looking for a dynamic and driven EA to join their small and close-knit team, working in a relaxed and welcoming environment. Currently based in Mayfair, there will be an office move in the coming months to a brand-new location in Kensington
The MD travels frequently and has property and business interests internationally, so this position would suit a candidate who has strong language skills, particularly in French or Italian (however, this is not essential). You will be responsible for all EA and Private PA duties in support of the MD, which will include extensive diary management (both personal and business), scheduling of appointments and meetings, strong travel management and support, overseeing multiple international properties, as well as maintaining strong third-party relationships. This is a client-facing role and therefore requires a candidate who is confident, polished and professional.
The principal has 2-small dogs, so the role is only suitable to dog-friendly candidates who are happy to care for the dogs on occasion. Usual working hours are 9:00am to 6:00pm, Monday to Friday, with flexibility required at times. Predominantly based in the office, hybrid working will also be possible when the principal is not in the office.
CORE RESPONSIBILITIES:
· Extensive calendar management – daily management of scheduling & rescheduling appointments and communicating to attendees
· Exercising a flexible approach to changing schedules, ensuring appointments are met
· Schedule and organise meetings, conferences, and off-site events
· Global travel management and scheduling, including private and commercial jets
· Scheduling personal appointments
· Manage international properties, including utilities, insurance and maintenance schedules
· Manage all administration in relation to the dogs, including vet appointments and care
· Act as a gate-keeper whilst always prioritising the needs of the principal
· Managing third-party relationships, dealing with clients, accountants and lawyers
· Ad-hoc support to other members of the team, ensuring the smooth running of the office
ESSENTIAL CRITERIA:
· Experience as an EA in a Family Office or supporting a HNWI would be advantageous
· Holding a degree level education or equivalent would be preferred, but is not essential
· Fluency in English, with French and/or Italian being highly advantageous
· Attention to detail and highly organised
· Brilliant communications skills and the ability to liaise at all levels
· Hands-on, logical and reasonable
· Loyal and dedicated
· Polished, professional and an ambassador for the business
· Eligibility to work in the UK
· Extremely organised and responsive to the needs of the MD
· Excellent checkable references
